YOUNG FRIENDS OF THE HONG KONG ARTS FESTIVAL (“Young Friends”) INTERNET PRIVACY POLICY STATEMENT (“THIS STATEMENT”)

Your privacy on the internet is of the utmost importance to us. Young Friends has its own Personal Information Collection Statement (“Statement”) and this Statement will demonstrate how Young Friends collects, uses, and safeguards your personal data from www.yfs.artsfestival.org (“the Website”) and assists you in making informed decisions when using the Website and our services. We endeavour to continuously access our privacy practices in light of new technology, business practices and our members’ needs. Our privacy policy may therefore be amended from time to time. You should therefore check this Statement regularly to ensure that you are aware of our latest policies.

What information do we collect?

Young Friends collects two types of information from you: personal data you knowingly choose to disclose that is collected on an individual basis and the website users’ information collected on an aggregate basis when you and others browse the Website.

1.Personal data you choose to provide

Registration

During the registration process prior to using the services of the Website, we require that you supply your name, HKID, email address, contact number, birthday, gender, address, education, and personal interest, etc. Failure to provide such information may result in our being unable to provide you with our services. On occasion, we may also collect additional personal data from you in connection with activity registrations, member surveys, competitions and/or our promotional activities, etc.

In addition to providing the foregoing personal data to us, if you choose to correspond further with us through email, we may retain the content of your email messages together with your email address and our responses. We provide the same protection to these electronic communications that we employ in the maintenance of information received by mail and telephone.

2.Website user information

Cookies

A cookie is a small data file that certain websites write to your hard drive when you visit them. A cookie file may contain information such as a user ID with which the site users can track the pages you have visited. But the only personal data a cookie contains is information you supply yourself. A cookie cannot read data off your hard disk or read cookie files created by other sites. When you view the Website, we may use cookies to store some information on your computer. We may save your password and other personal data so that they do not need to be re-entered.

We also log IP addresses, or the location of your computer on the internet for system administration and troubleshooting purposes. We may also use IP address logs to track your session or your behaviour on the Website.

Protection of personal data

Young Friends does not collect any personal data about you unless you voluntarily provide it to us. You provide your personal data to us when you register as a member of Young Friends or for an activity on the Website. Your account is only accessible through the use of your login ID and password. If you forget your password, you should immediately contact us at afyfs@hkaf.org

How do we use your personal data?

Essentially, we use your personal data for purposes of administering our activities, providing member services and making available other services to you and other prospective members. We may also use your personal data to notify you about important changes to the Website, new activities and special offers, if there are any that we think you will be interested in.

The main purposes for which your personal data may be used by us are:

  • Processing your application or registration for our services, enquiry or feedback
  • Incorporation into our membership database
  • Provision of contents in response to enquiries and complaints

How long do we keep your personal data

We will keep your personal data for as long as it is necessary to serve you or to continue to provide services you have requested. We will retain your personal data for a reasonable period if you cease to be our member or subscriber unless the law requires us to keep it for longer.

Employee access

In general, our business practice limits employee access to confidential information, and limits the use and disclosure of such information to authorised persons, processes and transactions. Employees or other personnel designated to handle personal data will be instructed to do in accordance with the terms of this Statement.

What about other websites’ links to the Website?

Please note that the Website contains links to other sites. When you use a link to go from the Website to another website, this Statement is no longer in effect. Your browsing and interruption on other websites, including websites that have a link to the Website, is subject to that website’s own rules and policies which may differ from those of the Website.
